Guides and answers for running your bookings.

Guides

Run your day from the calendar

View your schedule, add an appointment and keep time free.

5 steps: Run your day from the calendar
  1. Open Calendar and choose Week, Month or Roster. Select a day heading for its bookings. Today brings you back to the current date.
  2. Select an appointment to see the customer, services, status and available actions. Hover or focus an appointment for a quick preview on desktop.
  3. Click empty time to start an appointment, or drag across it to choose a duration. The time indicator follows 15-minute steps. Check the location, professional and time before saving.
  4. Add blocked time for breaks or time away. Review working hours in Your business → Team when your regular schedule changes.
  5. After rescheduling, check the appointment at its new time. Refresh the calendar if a connection error leaves the result unclear.

Choose services, classes, passes or memberships

Use the type of offering that matches how your customers book.

5 steps: Choose services, classes, passes or memberships
  1. A service is an appointment: the customer chooses an available time, such as a haircut, consultation or private lesson.
  2. A class has scheduled sessions and a capacity. Create the class, then add sessions so customers have dates to book.
  3. A pass gives a customer a set number of visits. A membership gives access over a recurring period. Review included offerings and expiry rules before selling either.
  4. Stock tracks products and supplies. Link supplies to services when you want completed appointments to reduce their stock levels.
  5. Set a clear name, duration and price, and assign an available professional. Preview the booking page to check what customers can see.

Understand booking payments and your plan

Customer payments and your LovingBooking subscription are separate.

4 steps: Understand booking payments and your plan
  1. Customers pay your business directly using the payment method you arrange with them. LovingBooking does not process or transfer booking payments.
  2. Eligible paid plans can display your payment QR and let customers upload proof. Check that money reached your account before marking a booking or pass as paid.
  3. A payment screenshot is evidence to review; it is not automatic payment confirmation.
  4. Stripe handles your business’s subscription to LovingBooking. Use Billing to review your plan and subscription.

Make your booking page feel like your business

Add your identity, preview changes and share the right link.

5 steps: Make your booking page feel like your business
  1. Open Booking Page to edit your business details and use Studio to pick a theme. Classic and Plain are on every plan; more themes and your own brand colour are on Pro.
  2. During setup, website import can suggest services, a brand colour, a logo and cover images. A suggested colour waits in Studio as a draft. Preview each image and choose what to use. Some sites offer icons or decorative images, so check the preview carefully.
  3. Keep service names and descriptions easy to understand. Check the page on a phone as well as a desktop.
  4. Review your draft and use the publish action when the changes are ready for customers.
  5. The sidebar’s Preview page action gives you the preview, Studio, live page and sharing tools in one place.

Help customers manage their bookings

Check the booking journey and the customer portal before you share widely.

4 steps: Help customers manage their bookings
  1. Make a test booking using contact details you control. Review the service, professional, date, price and business time zone at confirmation.
  2. Check the confirmation email and its booking-management links. Customers use these to reach the options available under your cancellation and rescheduling rules.
  3. Open a customer profile to review their bookings and contact details. Use the portal preview when you want to inspect their experience.
  4. Keep your business contact details current so customers have a clear way to reach you when they need help.

Move from another booking platform

Bring over customer contacts and rebuild your live schedule in a controlled order.

5 steps: Move from another booking platform
  1. Export your contacts from your current provider. In Customers, use Import to map the name, email and phone columns from your CSV.
  2. Review the import preview and matching contacts before confirming. A contact import does not move appointment history, payment records or subscriptions.
  3. Import your service list from a website or paste it for review. Check prices, durations, staff assignments and class sessions.
  4. Add future appointments you already promised to customers, then check for overlaps and time-zone differences.
  5. Keep your original export and account until you have tested a complete booking. Update your public booking links once the new schedule is ready.

Set up automatic customer messages

Choose confirmation, reminder and review emails, then check their delivery history.

6 steps: Set up automatic customer messages
  1. Open Automations. Each card shows who receives the message, when it runs and which channel it uses.
  2. Edit Booking confirmation to choose confirmation, change and cancellation emails independently.
  3. Edit Booking reminder to turn reminders on, choose how far ahead they run and add a preparation note. Preview the appointment and class emails before saving.
  4. Preparation notes appear in email reminders. WhatsApp reminders require an available connection and use their approved template; classes receive email reminders.
  5. Turn on Review request to invite feedback after completed appointments. Review requests run on the next hourly check; cancelled visits and no-shows are excluded.
  6. Select Save to apply your changes. In Delivery history, choose a date range and inspect failed attempts. Sent means the email provider accepted the message; it does not prove the customer read it.

Set hours and prevent unwanted bookings

Working hours, buffers and booking notice each control a different part of your schedule.

5 steps: Set hours and prevent unwanted bookings
  1. In Your business → Team, review each professional’s working hours. These determine when appointments can be offered.
  2. Use blocked time for a one-off break or absence. Change weekly hours for a repeating schedule.
  3. Add buffer time to a service when you need time before or after it for travel, preparation or cleaning.
  4. In Booking Page → Settings, set how much advance notice you need and how far ahead customers can book.
  5. If you connect an external calendar, check the sync direction and test a busy event before relying on it to block time.

Connect Lovie, the API and MCP

Use assisted workflows and integrations with clear access boundaries.

5 steps: Connect Lovie, the API and MCP
  1. Ask Lovie for help finding a setting or understanding your schedule. Review proposed changes before applying them.
  2. On an eligible plan, open API settings to create a key with the scopes your integration needs.
  3. Use the connection details in API settings for REST or an MCP-compatible assistant. Keep keys private and revoke a key when an integration no longer needs access.
  4. Start with a read-only request, then test changes against records you control. Check the result in the calendar or customer profile.
  5. For WhatsApp, check the integration’s current setup status before relying on reminders. Email remains a separate notification channel.

Frequently asked questions

Do my customers need an account to book?
No. They book as a guest, with their name and the contact details you ask for.
Can I add booking to my own website?
Yes. Link to your booking page from anywhere, or embed it on your site. Both work on every plan.
How do customers pay?
Directly to you; LovingBooking never handles the money. On Pro, your booking page can show your own PayNow QR. The customer pays, can upload a screenshot, and you mark the booking paid once the money arrives.
How are customers reminded?
By email, on every plan. You choose when the reminder goes: 1, 2, 4, 12, 24 or 48 hours before the booking. LovingBooking does not send SMS.
Does it work with Google Calendar and Outlook?
Yes, on every plan. Connect a calendar for each person on your team: their bookings appear in it, and by default the events already in it block those times on your booking page.
Do my staff need a login?
No. Anyone on your team can take bookings without a dashboard login, and a login without a calendar is free. Free covers up to 3 people customers can book; on Pro, each person beyond 3 is US$12 a month.
Is there an API?
Yes. On Pro, you can create keys for the REST API and for the MCP server that AI agents use. The developer docs include a sandbox you can try without an account.
