LovingBooking (“we”, “our”, or “us”) operates the LovingBooking platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

1. Information We Collect

Personal information you provide

  • Account data: When you create an account, we collect your name, email address, and password.
  • Business data: Business name, address, phone number, staff details, service listings, and operating hours.
  • Booking data: Customer names, email addresses, phone numbers, and appointment details submitted through booking forms.
  • Payment data: We do not store credit card numbers. Payments are processed securely through Stripe. We may store transaction IDs and payment status for record-keeping.
  • Uploaded files: Images you upload to your booking page, such as your business logo, cover photo, staff photos, and payment QR codes. These are stored with Cloudflare R2, our file storage provider.

Information collected automatically

  • Usage data: Pages visited, features used, and general interaction patterns.
  • Analytics and session recordings: We use PostHog to collect product analytics events and session recordings of how you use our website and app (such as pages viewed, clicks, and mouse movement). Text you type into form fields is masked in recordings. See “Analytics & Session Recording” below.
  • Device data: Browser type, operating system, device type, and IP address.
  • Cookies: We use essential cookies to keep you signed in and remember your preferences, and analytics cookies set by PostHog. See the Cookies section below.

2. How We Use Your Information

  • To send transactional emails (password resets, account updates)

3. How We Share Your Information

We do not sell your personal information. We share data only with:

  • Stripe: For payment processing, including subscription billing for businesses.
  • Resend: For sending transactional emails, such as booking confirmations, reminders, and account emails.
  • PostHog: For product analytics and session recording (see “Analytics & Session Recording” below).
  • Cloudflare R2: For storing files uploaded to the platform, such as logos, cover photos, and payment QR codes.
  • Google and Microsoft: If a business connects its calendar, booking details are shared with Google Calendar or Microsoft Outlook to create and update calendar events (see “Calendar & Video Integrations” below).
  • Zoom: If a business connects Zoom, booking details (service, time, and duration) are shared with Zoom to create video meeting links for online appointments.
  • Hosting providers: Vercel for application hosting and Supabase for database hosting.

All third-party providers are bound by their own privacy policies and data protection commitments.

4. Analytics & Session Recording

We use PostHog to understand how our website and app are used so we can improve them. PostHog collects usage events (such as pages visited and features used) and records sessions, capturing interactions like clicks, scrolling, and mouse movement. Text you type into form fields is masked in these recordings and is not visible to us. Analytics data may be associated with your account if you are signed in. 5. Calendar & Video Integrations

Businesses can optionally connect Google Calendar or Microsoft Outlook (Microsoft 365) via OAuth. When connected, we access:

  • Free/busy information from the connected calendar, used only to block out unavailable times on the booking page.
  • Event creation and updates: We create, update, and delete calendar events that correspond to bookings made through LovingBooking.

We do not read the contents of your other calendar events, and we do not share calendar data with third parties or use it for advertising. LovingBooking's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Businesses can also connect Zoom, in which case we create Zoom meetings for online bookings and include the join link in booking emails. You can disconnect any integration at any time from your dashboard, and we delete the stored access credentials.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services. If you delete your account, we will remove your personal data within 30 days, except where we are required by law to retain it.

7. Data Security

We take reasonable measures to protect your information, including:

  • Encrypted connections (HTTPS) for all data in transit
  • Hashed and salted passwords using bcrypt
  • Secure, HTTP-only cookies for session management
  • Regular security reviews of our codebase

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
  • Export your data in a portable format

9. Cookies

We use essential cookies required for the platform to function (such as session cookies that keep you signed in) and analytics cookies set by PostHog that help us understand how the product is used. We do not use advertising cookies. You can disable cookies in your browser settings, but some features may not work properly.

10. Children's Privacy

Our services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 16, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the “Last updated” date.
