Personal Trainers: How to Fill Your Calendar Without the DM Hustle

The DM thread is doing a job it was never built for
A prospective client messages you on Instagram asking what you have free on Thursday. You reply with three options. They read it between meetings, come back six hours later, and pick the 7pm — which you gave to someone else at lunchtime. Now you are apologising and offering three more.
Nothing in that exchange is anyone's fault. It is the medium. A DM thread is asynchronous by design, and scheduling is the one thing that cannot tolerate a lag: the moment you quote a time, it starts going stale. Every thread is also sealed off from every other thread, which means the only place your actual schedule exists is in your head.
The second problem arrives later. Thursday's client bought a 10-pack in March. How many sessions are left on it? The answer is in your notes app, or in a thread from four months ago, or nowhere.
What a booking link replaces, and what it does not
A booking page is one URL that shows your real availability and lets someone take a slot without asking you first. It goes in your Instagram bio, your email signature, and your Google Business Profile.
Three distinctions to be precise about:
- It replaces the negotiation, not the conversation. Clients will still message you, and you still want them to. They just stop messaging you to find out what is free.
- It does not send anything on WhatsApp or SMS. LovingBooking sends email: a confirmation when the booking is made, and a reminder before the session. There is no WhatsApp or SMS sending in the product, and promising it in a post about escaping DMs would be a strange thing to do.
- Reminder timing is yours to set. Pick 1, 2, 4, 12, 24 or 48 hours before the session — one choice, for the whole business, after which it runs on its own. If you want the reasoning on which offset actually helps, the reminders guide covers it.
So the link takes the scheduling out of the DMs. It does not take you out of the DMs.

Most trainers are already selling packages. They are just running them on trust and memory.
A package is a session count at a price. You can tie it to one service or leave it open to any of them, give it an expiry or no expiry at all, and sell it either as a one-time bundle or as a monthly bucket whose sessions reset at each renewal.
Once it exists it appears on your booking page next to your services, and the client buys it there. After that:
- When they book, their active package is matched by email and the session is covered — they are not charged again at checkout.
- They can see sessions used, sessions remaining and the expiry date in their own client portal, without messaging you to ask.
- You can see the same thing without counting backwards through a chat history.
On the free plan you can have one active package live at a time, which for most solo trainers is exactly one 10-pack. Running a 5-pack, a 10-pack and a monthly bucket side by side needs a paid plan, as does letting clients pay for a package in instalments.
The Tuesday 7am client
Standing slots are the backbone of a trainer's calendar and the worst possible use of a DM thread. Rebooking the same person into the same hour every week is not a conversation. It is data entry.
A recurring series is set once: the client, the service, the location, the day, the time, and the cadence. Three cadences exist — weekly, every two weeks, and monthly. You either fix the number of sessions or leave the series running indefinitely.
From there a job runs each day and creates the next appointment as it falls due, and the client gets the same confirmation email any booking produces. If that client has an active package, the session draws down from it automatically.
Two things worth knowing before you plan around it:
- A series holds one day of the week. A client who trains Tuesday and Thursday is two series, not one.
- The free plan allows one active series. If standing slots are most of your book, that is the limit you will meet first.
One-to-one, or four people in a park
Every service carries a capacity. Leave it at 1 and the service behaves the way one-to-one training should: the first booking takes the slot and the slot disappears.
Set it to 6 and the same slot accepts six bookings. The time picker shows how many spots are left as they go and closes the slot when it fills. That is enough to run small group sessions off the same page as your private ones, at their own price, without keeping a separate list.
Training in more than one place
Working hours are set per staff member, per location, per day of the week, with date-specific overrides for the days you are away or the mornings you start late. In practice the gym block and the park block do not have to share hours, and clients only ever see the slots that exist for the place they picked.
The free plan covers one location. If you want the gym, the park and a client's condo as separate places with separate hours, that is a paid plan.
What the free plan actually covers
| Free | Plus | |
|---|---|---|
| Price | SGD $0 | SGD $12/month |
| Bookings | 30 per month | Unlimited |
| Staff | 1 | Unlimited |
| Locations | 1 | Unlimited |
| Active packages | 1 | 50 |
| Active recurring series | 1 | Unlimited |
| Email reminders | Included | Included |
| PayNow and QR payments | Not included | Included |
| Instalment plans | Not included | Included |
Thirty bookings a month is a real ceiling, but count before assuming you are over it. A trainer with a standing book of eight clients, each seen once a week, lands somewhere around thirty-two sessions a month — close enough that the free plan is either exactly right or one client away from not being.
PayNow and QR payments sit on the paid plans only, which is the sentence most likely to catch you out: free and PayNow do not go together here. If taking a deposit by QR is the thing that would actually change your week, here is what the PayNow setup involves, and it is the upgrade.
Setting it up
The order that wastes the least time:
- Add your services with realistic durations, and set capacity above 1 on anything you run as a group.
- Set your working hours per location, then add overrides for the dates you already know you are away.
- If you sell a 10-pack, create it as a package so it stops living in your notes.
- Move your standing clients onto recurring series, most regular first.
- Put the link in your Instagram bio, your Google Business Profile, and your email signature.
Then leave the DMs open, because that is where your clients are. They just will not be asking you what time is free. Start free and find out whether thirty bookings a month is your ceiling or your whole business.

Frequently asked questions
Can clients buy a 10-pack through my booking page?
Can clients buy a 10-pack through my booking page?
Yes. Packages you create appear on your booking page alongside your services, and clients buy them there. When they next book, their active package is matched by email and the session is covered, so they are not charged again at checkout. They can see sessions used and remaining in their client portal. The free plan allows one active package at a time; paid plans allow up to 50.
Can I set up a standing weekly slot for a regular client?
Can I set up a standing weekly slot for a regular client?
Yes. A recurring series takes a client, service, location, day, time and cadence — weekly, every two weeks, or monthly — and creates each appointment as it falls due, with the usual confirmation email to the client. Each series covers one day of the week, so a client who trains Tuesday and Thursday needs two series. The free plan allows one active series.
Can I run small group sessions as well as one-to-one?
Can I run small group sessions as well as one-to-one?
Yes. Each service has a capacity. At 1 it behaves as one-to-one and the slot closes on the first booking. Above 1, the same slot takes multiple bookings, and the time picker shows how many spots are left until it fills. Group and private services live on the same booking page at their own prices.
I train at a gym, outdoors and at clients' homes. Can the calendar handle that?

Working hours are set per location and per day of the week, with date-specific overrides for days off, so each place keeps its own hours and clients only see slots for the place they picked. The free plan includes one location; running separate named locations requires a paid plan.
Can I take PayNow deposits on the free plan?
Can I take PayNow deposits on the free plan?
No. PayNow and QR payments are available on the paid plans only. The free plan covers the booking page, email reminders and 30 bookings a month at no cost, but taking payment by QR is not part of it.
